While you listen

  • The app sends audio from your microphone and the system audio to the service, which uses Google’s Gemini speech model on Google Cloud (Vertex AI) to write the transcript and sends it back. Long silences are mostly not sent.
  • For an answer, the app sends the question lines, the recent transcript and your active preset’s title, notes and documents. The service returns the answer and keeps none of it.
  • The service keeps a record of each meeting’s start and stop time, the minutes billed and the number of answers, to bill live time and enforce fair use. Never the audio, the transcript or the answers.

Where the service runs

  • The Meeting Ears service runs on Google Cloud in Belgium (europe-west1); account records are kept in Google’s EU multi-region.
  • The Gemini models are currently reached through Google’s global endpoint, so the AI processing may take place outside the EU. We are working on keeping it in the EU.

On your computer

History, projects, presets and settings are files in %APPDATA%\meeting-ears-overlay. The sign-in token and the calendar access are encrypted with Windows (DPAPI). We have no access to these files, and they are not synced or backed up by us: a new computer starts empty.

  • Settings → Privacy & data → Keep history: 30 days, 90 days or Forever.
  • Delete all history removes every saved transcript and answer, after a confirmation.

The other people in your meetings

Their voices are part of the audio Meeting Ears transcribes. Tell them you use it, and ask for consent where the law requires it. See the acceptable use policy.

Training and logs

  • We don’t use your meetings to train AI models.
  • The service’s logs identify you only by a hashed account id and never contain audio, transcripts, context, keys or tokens.
  • This website uses no cookies and no analytics. See Cookies.
