Projects and context presets

Projects group your meetings; presets hold the notes and documents every answer uses.

A context preset is what Meeting Ears sends with every answer: your notes, your documents and, if you made one, a summary of the project’s recent meetings. Presets live in projects, and both are stored on your computer only.

Projects

  • General always exists and comes first. Use it for calls that don’t belong anywhere else.
  • + New project in the Context tab (or + New project… in Listen) creates one: a client, a job search, a team.
  • Each meeting is saved under the project that was selected when it started. Deleting a project moves its meetings to General; nothing in History is deleted.

Presets

  • A project has 1 to 20 presets; a new project starts with an empty Default. Make one per kind of call: “Round 2 – technical”, “Weekly sync”.
  • Select a preset to edit its Meeting title, Notes, Documents and Answer length (Brief, Balanced or Detailed), then press Save preset.
  • Use this preset for the next meeting makes it active. You can also switch the preset in the Listen tab, even during a meeting.
  • Duplicate copies a preset; Rename and Delete do what they say (the last preset can’t be deleted).

Documents

  • + Add file takes text files: .txt, .md, .csv and .json, up to 1 MB each and 50 per preset. You see a preview before Add to preset.
  • PDF and Word files are not supported yet. Copy their text into a .txt file or into the notes.
  • Very long documents are shortened when they are sent with an answer, so put the most important facts in the notes.

What to write

  • Who you are and your role in this meeting.
  • What the meeting is for and what you want out of it.
  • The facts people ask for: numbers, dates, decisions, owners, prices.
  • Terms you tend to forget, and anything you must not promise.

From recent meetings (Regenerate context)

Regenerate asks the service to write a short summary of where things stand, from the notes of up to 3 recent meetings of this project and this preset’s notes. It appears under From recent meetings and is sent with answers like a document.

  • The first time, the app tells you what is sent and asks you to confirm. What goes: for each of up to 3 recent meetings, the questions answered with their points and the last 40 transcript lines. The service writes the summary and stores nothing.
  • Regenerating uses your AI allowance, and needs a plan or live time left.
  • Copy to my notes turns the summary into editable notes; Remove deletes it.

This is the only feature that sends past meetings anywhere. Nothing else of your history leaves your computer.
